Keep your ship airtight with budgetary controls
The fact is that vendors make mistakes - sometimes even a lot of mistakes - and chances are, these are costing your business money.
Susan R. Kizirian, RN, BSN, MBA, executive director of the Southeastern Urological Center of Tallahassee, FL, offers these tips to running a tight ship:
· The purchase order should always be signed by the person who has the authority to make the purchase.
· It should always have the quantity of the product that's being ordered, and it should list the quoted price.
· When the invoice is paid, it should have a back-up form that is the purchase order. These two forms should match exactly on the quantity and price quoted.
· These forms should be matched to the proof of delivery form that is signed by a designated employee who counted every item to make sure the correct amount was received.
· Reconcile the inventory quarterly to make sure items are not disappearing at a faster than expected rate.
